It’s never more apparent than it is at this time of the year, but we know you are BUSY. Most likely “busy” as in, “I really don’t even have an extra minute to be reading this blog post because I’m so in over my head at work right now, but I NEED some easy-to-implement strategies and tools that will help me stay more on top of things” busy! I’ll keep this one as short and sweet as possible so you can get back to that to-do list, but here are our professionals’ top app suggestions to make you more productive at work!

What app is best to help me stay productive at work?

There is only one answer when it comes to which app is the most powerful productivity tool right now: Toodledo! Toodledo is a free app that allows you to seamlessly organize, prioritize, and track progress for all your tasks. Some of our favorite functions of the app include the ability to:

  • Organize tasks into different folders, projects, or lists.
  • Assign priority levels to help you focus on important/urgent tasks.
  • Set due dates and reminders for tasks so that you stay on track.

Not only does Toodledo work on both mobile and desktop platforms, but it also has a calendar view for task visualization and other added features worth mentioning. Once you add, prioritize, and set deadlines for your tasks, Toodledo then allows you to sort and filter those tasks based on different criteria. Not only that, but you can then include details such as task durations, whether a task is recurring, and/or add tags and notes to customize your tasks further. This is a huge organizational tool! To fit your direct needs, files, and checklists may also be added to each task and the app allows task sharing! This will help you keep all relevant information in one place and allow you to collaborate with other team members, outline how long each task takes, and track everyone’s progress. If you’re looking to optimize productivity at work, Toodledo may be a perfect solution!

Is there an easy-to-use app that can boost my productivity?

Things” is currently the second highest ranked app in “Productivity”, and for good reason! This app is essentially a task manager and is adaptable enough for anyone to use and benefit from. “Things” allows users to categorize and tag tasks (for example, you could tag tasks as “work”, “personal”, etc.). Some of our favorite functions of the app are:

  • The ability for users to set a daily agenda
  • The Siri integration and ability to work on-the-go with voice commands
  • The ease of use (this one earns high ratings & praise from many users with ADHD!)

“Things” allows users to group related tasks together and create projects to make progress tracking on large projects or goals more efficient. Additionally, users can create subtasks to break down their projects/tasks into more manageable steps. (Certainly a fantastic benefit if you have ADHD!) The app also gives you the ability to assign specific due dates to tasks/projects and set reminders so you can stay on top of deadlines and never miss anything important.

As I said, we love Things’ ability to set a daily agenda. It will help you focus on the most urgent of your tasks by showing upcoming tasks in addition to a list of tasks for “Today”. The differentiation of items needing to be addressed or taken care of immediately vs. those that can wait will keep you on task at work. For responsibilities that need to be done on a regular basis (daily/weekly meetings, daily reports, etc.) you can set them as “reoccurring” and the app will remind you automatically.

“Things” has Siri integration (for logging tasks on-the-go!), as well as the ability to add tasks through keyboard shortcuts, and the ability to integrate your iOS calendar. The app will also sync across multiple platforms including iPhone, iPad, Mac & Apple Watch to make sure you have access on any of your devices, any time.

What app can help me manage my many to-do lists?

With over seven thousand reviews and a 4.8 rating, Workflowy is one of the best options for to-do list management. The app is easy-to-use and has a FREE version with all the essential features. (You can update to the paid version for larger storage & more advanced collaboration ability if needed!) Workflowy allows users the ability to:

  • Easily track and updates tasks.
  • Monitor progress on projects and keep workflows on track.
  • Breakdown large projects into smaller, more manageable tasks.
  • Prioritize tasks by creating checklists for important items.
  • Store valuable insights, reference materials, & project details for future use.

One great thing about this app is that you can tailor it to suit your needs for managing personal to-do lists, work tasks, or long-term projects. You can also tag items and filter the view so that you can focus on specific tasks without distraction. Workflowy has “focus mode” which allows you to focus on individual items or sections of your to-do list, as well as search for any tasks or note within your workflow.

It’s also a great app for multiple team members to use for collaboration on a project, as it allows for real-time editing and updating. It’s cloud-based, so users can access their lists and collaborate from anywhere, on any device. The app will automatically sync across all devices (desktop, mobile & tablet) and allows you to view and edit your lists without an internet connection. (Changes sync once you are reconnected to Wifi!) Workflowy can also be integrated with other tools, including Google Calendar, Zapier, or task management software programs. For added peace of mind, the app saves all list history and “versions” so that you can revert to previous versions if ever needed!

What is the best to-do list app for me to use at work?

The Microsoft To-Do app is a great “one stop shop” for all things to-do list related! The free, easy-to-use version allows users to:

  • Categorize tasks by project, priority, or deadline & filter tasks by those categories.
  • Mark tasks with varying levels of priority (high, medium, low).
  • Set deadlines & reminders, as well as allocate specific time blocks for each task.
  • Track your progress on tasks/projects, keeping a visual record.
  • Set reoccurring tasks for daily and/or weekly responsibilities.

The app helps users create clear digital to-do lists, allowing busy working professionals to break down complex tasks into smaller, actionable steps while staying focused and organized. Like our other favorite business organization apps, “To Do” can be used in team settings and allows everyone to share tasks and collaborate/delegate responsibilities. The app synchronizes across multiple devices, will immediately reflect changes or updates in real time, and allows access even when offline. In addition, a nice extra benefit of this application is that it allows customization many others do not. Microsoft To Do gives users the ability to customize the theme, layout, and several other features within the lists to best suit your individual preferences.
